Introduction to Calendar Sync

Cademy's Calendar Sync feature allows you to seamlessly integrate your Google or Microsoft Outlook calendars. This guide will walk you through the setup process, enabling efficient scheduling and easy access to your events and courses.


Connect Your Google or Microsoft Outlook Calendar

  1. Log in to your Cademy Admin Dashboard

  2. Go to the Apps section in the dashboard

  3. Find and click on the Calendar Sync app to start setting it up

    Click on Add Account within the Calendar Sync page

  4. Pick your calendar provider (Google or Microsoft) from the list

  5. Follow the steps shown on your screen to sign in to your calendar account and let Cademy access your calendar


The Two Ways You Can Use Calendar Sync

Cademy's Calendar Sync works with two main course types: those with specific dates and on-request courses.

  1. Courses Running on Specific Dates: Ideal for events, classes, or courses with predetermined schedules.

  2. On-Request Courses: Perfect for sessions that require booking based on your availability without specific dates.


For Courses Running on Specific Dates

How to Make Your Courses Show on Your Calendar

  1. Make sure you have connected your calendar to Cademy from the Apps menu -> Calendar Sync

  2. Navigate to the settings of the specific course set to run on specific dates.

  3. Click on Calendar Sync within the course settings.

  4. In the section titled Create new events for bookings in my calendar, select your calendar to sync.

  5. Any future dates added to this specific course will be automatically pushed to your Google Calendar or Outlook Calendar.

Additional Information in the Calendar Event:

  • Number of attendees: Cademy will sync the number of attendees for each course, which you'll see in brackets on every calendar event. This feature lets you directly see how many people have booked and how many spaces are available.

  • Zoom Link: For courses delivered online with a Zoom link specified, this link will be included in the calendar event. This ensures that all necessary details for joining the course are readily accessible.

  • Delivery Location: If a course has a specific physical location, this information will also sync to your calendar, ensuring you know exactly where each session will be held.

  • Default Attendees: You have the option to set the event attendees providing a clear view of who's attending directly within the event details.

How to Let Customers Book Based on Your Free Time

  1. Make sure you have connected your calendar to Cademy from the Apps menu -> Calendar Sync

  2. Navigate to the settings of the specific course set to run on specific dates.

  3. Under the Pricing & Delivery tab, locate the Booking Flow section

  4. First option is to "Allow Bookings" on any date. After the request is reviewed and accepted by the course provider, an event will be created in the chosen calendar.

  5. Choose Based On My Calendar Availability to allow bookings based on your calendar's available time slots.

  6. From the Check availability based on these calendars: select your linked calendar.

  7. In the Available days and hours: set your available dates.

  8. Use the Customise Availability option to fine-tune your available hours.

  9. Under When someone books, create an event in this calendar: pick the calendar where the booking events should be created.


What Happens When Someone Books an On-Request Course

  • Booking Flow for Any Date: Customers can suggest up to three preferred dates. After you review and accept one, they receive a payment link. Post-payment, an event is created in your calendar.

  • Booking Flow Based On My Calendar Availability: Customers view a calendar with your available slots.

    What to Expect When a Booking Is Made

    • Free pricing: Customers pick a slot, and the booking is instantly confirmed, creating an event in your calendar.

    • Set pricing: Customers must complete payment for their booking, after which an event is added to your calendar.

    • Price on inquiry or price range: After you approve the booking, customers receive a payment link. Following payment, an event is scheduled in the chosen calendar.


Frequently Asked Questions (FAQs)

Will changes I make to my synced calendar automatically update in my courses in Cademy?

No, any changes you make in your Google or Outlook calendar will not reflect in Cademy. The sync is one-way, from Cademy to your calendar, to keep your personal or work calendar updated with your Cademy courses and events.

If I remove an event from my synced Calendar, will this update in Cademy and cancel my existing booking?

No, removing an event from your Google or Outlook calendar does not update or cancel any existing bookings in Cademy. To modify or cancel bookings, please do so directly within the Cademy dashboard.

What should I do if my course dates don't appear in my calendar?

Double-check that you've selected the correct calendar to sync under the "Create new events for bookings in my calendar" section. If the issue persists, contact Cademy support for assistance.

Can customers see my entire calendar or just the times I'm available

Customers can only see the time slots you’ve made available for bookings. They won't have access to view your entire calendar.

Are there any fees associated with using the Calendar Sync feature?

No, using the Calendar Sync feature is included with your Cademy account at no extra cost.
